How to Configure HubSpot Workflows with Alyce

The Alyce + HubSpot integration includes two actions which can be used within your HubSpot Workflows: Add to 1:Many Campaign and Evaluate Alyce Gift Status. Please note that these actions are only available within contact-based HubSpot workflows.

This document will describe how you can incorporate both of these Alyce actions within your HubSpot Workflows to automate your 1:Many gifting motion. If you would like to also set up your HubSpot Workflows to incorporate error handling, check out this help article.

Add to Alyce 1:Many Campaign

This service enables you to dynamically add HubSpot contacts to your Alyce 1:Many campaigns to make them eligible to receive gifts as part of that Alyce 1:Many campaign. 

To configure this service within your HubSpot workflows, follow these steps:

Step 1: Within any HubSpot contact-based workflow, click the plus sign where you would like to add the Add to Alyce 1:Many Campaign action.

Step 2: Within the “Choose an action” sidebar, search for “Alyce” and click “Add to Alyce 1:Many Campaign”.

Step 3: Choose the Alyce 1:Many campaign to which you would like to add contacts and click “Save”. 

To ensure that your campaign is available in this list, please double check that you have successfully completed all required steps in this article prior to creating your HubSpot workflow.

Congratulations, you have successfully configured the Alyce “Add to Alyce 1:Many Campaign” action. Your contacts will be added to your Alyce 1:Many campaign as soon as you activate your HubSpot workflow and they flow through this step.

NOTE: If you would like to automatically send a gift email to the recipient, you would need to add an additional email step to the HubSpot workflow. You can customize the branding and copy as desired. As the gift link is coming from a 1:Many campaign, the link will remain the same across all recipients. To copy the gift link for the campaign, navigate to Campaign Settings, Gift Links:

Evaluate Alyce Gift Status

This service enables you to evaluate the gift status for each individual HubSpot contact as they flow through your HubSpot workflow. To configure this service within your HubSpot workflows, follow these steps:

Step 1: Within any HubSpot contact-based workflow, click the plus sign where you would like to add the Evaluate Alyce Gift Status action.

Step 2: Within the “Choose an action” sidebar, search for “Alyce” and click “Evaluate Alyce Gift Status”.

Step 3: Choose the Alyce campaign for which you would like to evaluate the gift statuses and click “Save”. The “Evaluate Alyce Gift Status” action should be added to your workflow.

To ensure that your campaign is available in this list, please double check that you have successfully completed all required steps in this article prior to creating your HubSpot workflow.

Step 4: Add another step into your workflow for the out of the box “Value equals branch” action.

Step 5: For the property or value which you would like to branch on, choose “giftStatus” from within the “Evaluate Alyce Gift Status” step and then click “Next”.

Note: If you would like to create a separate branch for all available Alyce gift statuses, you can check the box for: “Create a separate branch for each value in this property.”

Step 6: Choose the Alyce gift status(es) on which you would like to create a branch and then click “Save”. 

Step 7: Check that the “Value equals branch” step has been added to your workflow. From here, you can customize the follow up actions according to your desired outcomes.

Congratulations, you have successfully configured the “Evaluate Alyce Gift Status” action. The corresponding Alyce gift status for each of your HubSpot contacts will be evaluated as they flow through this step.
